Here, we explain what a Coaching Bot is and how it works.

What is a Coaching Bot suitable for?

A Coaching Bot helps your Members better understand content and clarify open questions directly.

It is particularly suitable for:

  • answering questions about Lessons or content

  • explaining complex topics in an easy-to-understand way

  • actively supporting Members in their learning

This allows Members to gain clarity more quickly without having to wait for a manual response.


Setting up a Coaching Bot

To create a Coaching Bot, navigate to the “Prompt” section in the editor.

There, you can select the “Coaching Bot” type in the Personality settings.

You then define the so-called prompt.

The prompt determines:

  • what goal the chatbot pursues

  • how it behaves

  • how it interacts with the User

A well-worded prompt is crucial to how helpful and relevant the chatbot's responses are.

Important: The quality of the responses depends on both the prompt and the stored knowledge.


What is a prompt?

A prompt is a description that instructs the chatbot how to think and respond.

It works like a set of instructions or a briefing. The clearer and more specific the prompt is, the better the chatbot can fulfill the desired role.

Make the prompt as specific as possible (e.g., goal, Tone of Voice, target audience) to receive better and more consistent responses.


Example: Coaching Bot for a fitness Course

A fitness coach wants to create a chatbot that answers questions about a specific Lesson and makes content easier to understand.

A possible prompt could look like this:

You are a supportive fitness coach. Your task is to help Members better understand the content of the current Lesson. Answer questions clearly and simply. Address uncertainties and explain connections step by step. If possible, provide practical examples or implementation tips. Always remain motivating and clear.

This prompt ensures that the chatbot:

  • responds in the role of a coach

  • focuses on the content of the Lesson

  • communicates clearly and supportively

A good Coaching Bot not only provides answers but also actively helps Members better understand and apply content.


Using Member Properties and Agent Actions

Using Member Properties in the prompt

You can use Member Properties directly in the prompt to make your chatbot more personal and context-specific.

To do this, use the # symbol, followed by the name of the property (e.g., #Fitness-Problem).

The chatbot then automatically accesses the stored information for the respective User.

Example:

You are a supportive fitness coach. Your task is to help the User with their individual problem. The User has the following goal or problem: #Fitness-Problem. Address it specifically and provide concrete, actionable tips. Respond in a motivating and easy-to-understand way.

The advantage:

  • more personalized responses

  • faster and more relevant support

  • a better User experience

Agent Actions

Agent Actions can be integrated into the prompt using the @ symbol.

There are predefined Actions, or you can create your own under Settings → Agent Actions.

This allows you to automatically respond to specific situations, for example:

  • inform team members

  • trigger Automations (e.g., via Zapier or Make)

Agent Actions example

A fitness coach uses the standard action “Dissatisfied User”. The chatbot recognizes from the conversation when a User is dissatisfied or frustrated and automatically triggers an action. The coach is then informed and receives a summary.

This enables the coach to:

  • respond quickly

  • follow up specifically

  • improve the User experience
