Structure explanation: Data Profiles, Categories, Properties

Here we explain how you can structure Member Properties.

Written by Christoph Gimpl

To structure and use your Member Properties effectively, there are three levels.

You can manage the complete structure under Properties → Property Configuration .

The three levels are:

Data Profiles

Before you can create a Member Property, you must create a Data Profile in which the property is to be created.

Cards group several related properties together to create a logical structure. It is important to name the Data Profiles appropriately
to ensure a good overview.

Examples of Data Profiles:

  • Company
Properties: Location, website link, number of employees, etc.

  • Branding
Properties: Logo, primary color, font, etc.

  • Master Data
Properties: Date of birth, gender, department, etc.

Instructions

To create a Data Profile, click the "Create Data Profile" button at the bottom of the card

In the "Create Data Profile" pop-up, you can define the name of the Data Profile. You can change it later.

Categories (optional)

Categories can optionally be added to Data Profiles to maintain an overview when there is a large number of properties in a Data Profile. By default, no categories are created in Data Profiles.

You can freely move the categories within the Data Profile so that you can build your structure the way you need it.

Examples

Card: Company

  • Category: Basic Information
Properties: Location, number of employees, industry

  • Category: Social Media
Properties: Facebook link, Instagram link, LinkedIn link

Instructions

You can manage the categories using the "Categories" button in each Data Profile.

In the pop-up, you can then define the icons, names, and order of the individual categories.

Categories are displayed as dividers in the card. You can move the individual Member Properties around them.

Properties or fields

Properties are used to store different information about a Member. In properties, you define how the information you want to record about your Members is stored.

You can decide whether a property can store text, an image, or other data types. You can find a detailed description of the different data types here.

You can also define individually for each property whether it should be editable, visible, or not visible at all to Members. This is particularly helpful when you store information about your Members that should only be available for your internal purposes.

Instructions

You can add properties using the "Add Properties" button at the end of each Data Profile.

In the "Create New Property" pop-up, you can define the name of the property and which category (if available) it belongs to in the Data Profile.

You can also define an internal description to describe the purpose of the individual fields and additionally define a property ID for Automations.

Most importantly, however, you must select the correct data type for the respective purpose of the field.

Only properties for Members whose visibility is set to "Edit" or "Visible" are displayed.
